Executive Assistant to the Principal

Rangitoto College, the largest high school in Australasia, is seeking a highly skilled and experienced Executive Assistant to the Principal. With a student body of 4120 and a staff of 350, we are a high-performing institution dedicated to excellence. We are looking for an individual who is highly skilled, professional and enthusiastic. You will have a desire to make a positive difference and to add to the culture and performance of the College.

The Role

The Executive Assistant to the Principal is a permanent, full-time position. This is a term-time role, plus an additional 2-3 days of flexibility during each term break. Working 40 hours per week (with flexibility as required), this position reports directly to the Principal. This role is essential in providing executive secretarial and administrative support, ensuring the smooth and efficient operation of the Principal’s office.

Key Responsibilities

Executive Secretarial Support: Provide comprehensive secretarial services to the Principal, including maintaining office systems, arranging travel and accommodation, organising and maintaining diaries and appointments, handling incoming email and post, and screening telephone calls and visitors

Administration: Perform a range of administrative tasks such as replying to student leave requests in accordance with Ministry leave guidelines, using the College’s student management software, and producing newsletters and promotional material.

Event Support: As required by the Principal, assist with event management by booking venues, arranging refreshments, preparing necessary resources, and attending and assisting with functions.

School Board: Support the Board by producing and distributing agendas, board packs and minutes of Board meetings, corresponding on behalf of the Board where appropriate, and liaising with the Board Chair, Members, Principal and Board Secretary regarding all Board matters.

Confidentiality: Handle all matters with the utmost discretion and sensitivity, ensuring the privacy of confidential information.

Experience
